How terms of visit (NDA) work in Systam Visit

Non-disclosure agreements and other visit terms in Systam Visit are handled under Visitor types → [visitor type] → Terms of visit. Here's how terms actually get accepted.

Ad hoc visitors accept the terms at the kiosk

When a visitor arrives without a prior invitation, they sign in at the kiosk. If terms of visit are enabled for their visitor type, the kiosk shows the terms text as its own step before sign-in continues – the visitor accepts by tapping Accept terms of visit.

Invited visitors can accept the terms in advance

If a visitor has been invited ahead of time, they receive a pre-arrival message before the visit. Through that message, the visitor can accept the terms of visit in advance on their own phone or computer. When they later sign in, the terms are already accepted and won't be asked again.

Front desk staff can also sign a visitor in directly – in that case, terms aren't shown

If a visitor arrives directly at reception instead of signing in at the kiosk or through the self-service link, front desk staff can sign them in directly from Studio. A sign-in done this way doesn't show the visitor the terms of visit and no acceptance is recorded, even if terms are enabled for that visitor type. If full coverage of terms of visit matters, always direct ad hoc visitors to sign in at the kiosk or through the self-service link instead of signing them in at reception.

No length limit

There's no maximum length for the terms text. It's a free text field where you write the terms directly.

Terms can vary by visitor type

Terms of visit are turned on or off separately for each visitor type, and each visitor type has its own, completely separate terms text. Different visitor types can have different agreement texts when needed.

Good to know

  • Terms can be written separately for each language enabled in the workspace. If a translation is missing for a language, the visitor sees the default language's content instead.
  • Each visitor's acceptance is permanently stored together with the exact text version that was in effect at that moment. If the terms are edited later, earlier acceptances don't change – they remain proof of exactly what the visitor agreed to at the time.
  • Acceptance doesn't include strong electronic identification, such as bank credentials. The entire sign-in relies on information the visitor enters themselves (name, and depending on workspace settings, email, phone, company, license plate).
