Allow mobile sign-in for visitors

Mobile sign-in lets visitors sign in using their own phone. Invited visitors can start from their pre-arrival message, while walk-in visitors scan a QR code shown at the location, for example on a Systam Rooms display or a printed sign.

Mobile sign-in is a paid feature. The settings stay locked in Systam Studio until the feature has been purchased. To get it, contact us at support@systam.io.

Turn on mobile sign-in

  1. Log in to Systam Studio.
  2. Open Settings → Mobile Sign-in.
  3. Turn on Mobile Sign-in under Setup.
  4. Under Visit types, select the visit types available in the mobile flow. Some visit types may not be available for mobile sign-in.

Note: If you turn mobile sign-in off, the current QR code is invalidated.

Sign-in for invited visitors

Pre-invited visitors receive a pre-arrival message before their visit. From there, they can view their visit details in Systam Mobile and accept any applicable terms in advance.

On the day of the visit, a sign-in button appears in Systam Mobile. The visitor can use it to sign in on their own phone without scanning a QR code.

After signing in, the visitor receives a mobile visitor badge on their phone.

Sign-in for walk-in visitors

A visitor without a pre-arranged invitation can start sign-in by scanning the QR code shown at the location with their own phone.

During sign-in, the visitor provides their contact details, selects an available visit type, and accepts any applicable terms. After signing in, the visitor receives a mobile visitor badge on their phone.

Choose how the QR code and sign-in link are renewed

Under QR code and sign-in link renewal, choose how the self-service sign-in code is refreshed.

  • Renew automatically after each sign-in (recommended) – the code is used up by each completed sign-in and a new one is created automatically. This helps prevent a saved or shared code from being used later.
  • Do not renew automatically – the QR code and link stay the same until you replace them manually with Renew code and link. Use this option when you need a printed QR code.

Permanent QR codes do not expire on their own. If someone saves or takes a screenshot of the code, it remains usable until you refresh it manually.

Share the sign-in link or QR code

If you have selected a permanent code, you can find the workspace's mobile sign-in link and QR code under QR code and sign-in link.

  • Select Copy to copy the mobile sign-in link.
  • Select Download QR to download the QR code, for example for printing.
  • Select Renew code and link when you want to replace the current QR code and link. The old code stops working after a short transition period. If the QR code is shown on a Systam info display, it updates automatically. If you have printed or shared the code elsewhere, update it yourself.

Remember to save your changes.

Once the settings are ready, visitors can use their phone to sign in in the way that suits their visit.
