Visitors don't always know exactly who they're here to see. With Systam Visit, that doesn't have to stop a smooth arrival. Allowing sign-in without a host lets visitors complete a normal sign-in without selecting a host. The visit appears in Systam Studio as Host unknown, and the right host can be assigned later. Reception stays in the loop, and the visitor can keep moving.
Enable sign-in without a host
- Open Settings in Systam Studio.
- Select Visitor settings from the Workspace settings on the left.
- Go to General visitor settings.
- Enable Sign-in without a host.
- Save changes.
What does the visitor see at the kiosk?
When Sign-in without a host is enabled, visitors can continue their sign-in even if they don't know their host.
- The visitor selects I don't know my host on the kiosk.
- The visitor selects Continue without a host.
- The visitor completes the normal sign-in process, and a notification of their arrival is sent to the Assistant contact details.
Systam Visit creates a normal visit without a host. The visit appears in Systam Studio as Host unknown, and the visitor can be signed out just like any other visitor.
If Sign-in without a host is disabled, the kiosk shows a clear message explaining that the visitor can't sign in without a host.
Set up assistant details
In Systam Studio, you can choose which people should be notified when a visitor arrives without knowing their host. Make sure Sign-in without a host is enabled first, under Visitor settings.
- Open Workspace settings → Notifications.
- Go to Assistant notifications.
- Under Assigned assistant(s), select the hosts you want to designate as assistants.
- If needed, add an email address or phone number under Additional notification contacts.
- Save changes.
When a visitor signs in without a host, the designated assistants and any additional contacts are notified about their arrival.
Assign a host later
A visitor who signs in without a host appears as Host unknown in Systam Studio's Visitor Flow and visit details.
Once the correct host is known, the front desk can assign the host to the visit. The visit then continues with the correct host information.
All set! Even visitors who arrive without knowing their host can now move smoothly through the whole visit.
