Bulk import for spaces and devices

This guide helps you import multiple spaces and their related room displays into Systam Studio using an Excel file. You can also link devices to the correct spaces at the same time and significantly speed up the setup of new environments.

Bulk import spaces and devices with an Excel file

  1. Open the import page from Spaces → Import
  2. Select the workspace where you want to import the spaces and devices.
    • The current workspace is selected automatically.
    • You can change it to another workspace if needed.
  3. Select the calendar integration.
    • Choose the correct calendar from the dropdown menu.
    • The selection cannot be cleared after a calendar has been selected.
  4. Download the Excel template by clicking Download template.
  5. Fill in the required information in the file:
    • Space name
    • Calendar resource address
    • Device name
    • Create and link new device (use the value x if you want to create a new device)
  6. Save the file in .xlsx format.
  7. Upload the file back into the system:
    • Drag and drop the file into the upload area or
    • Click and select the file
  8. Review the preview table before starting the import.
  9. Click Import spaces and devices to start the import.

Preview and validation

Before the import starts, you will see all rows in the preview table. The system automatically validates the data. At the top of the page, you can see a summary of errors, warnings, and duplicates. You can still update your Excel file and upload it again at this stage.

  • Error (red) – Missing required information, invalid formatting, or duplicate data. The row will be skipped during import.
  • Warning (yellow) – For example, a missing device name. The row can still be imported, but the space name will be copied as the device name.
  • Duplicates – Highlighted with a red background.

After the import

The import progress is displayed with a progress bar. You can also see a summary at the top of the page.

  • Created – New spaces and devices added successfully
  • Failed – Import failed
  • Skipped – Skipped because of missing information

You will also see an information section showing where to find the newly imported devices.

All set! Now you can quickly import and manage even large numbers of spaces and devices with a single Excel file.
