Bulk host import

This guide shows how to bulk import hosts into Systam Visit using an Excel file. It’s a quick way to add multiple users at once.

Bulk import hosts using an Excel file

1. Open the import page from Hosts → Import hosts.
2. Select the workspace where you want to import the hosts.
3. Download the Excel template by clicking Download template.
4. Fill in the required fields in the file:
   • First name
   • Last name
   • Email
   • Phone (including country code, e.g. +358)
5. Save the file in .xlsx format.
6. Upload the file:
   • Drag and drop the file, or
   • Click to select it
7. Review the preview table.
8. Click Import hosts to start the process.

Preview and validation

After uploading, you’ll see a full preview of all rows. The system validates the data automatically.  A summary banner shows the number of warnings, errors, and duplicates. At this point you can go to your Excel-file, correct the data and upload the file again.

• Error (red) – Missing required fields, invalid format, or duplicates. These rows are skipped.
• Warning (yellow) – For example missing country code or phone number. These rows can still be imported but the data in the cell cannot.
• Duplicates – Highlighted with a red background.

Import processing and results

You can follow progress with a progress bar. A summary banner shows the final import result.

• Created – New hosts added
• Updated – Existing users updated based on email match
• Failed – Import failed
• Skipped – Skipped due to missing information

Phone number handling

If a phone number is missing a country code, the system automatically adds it based on the workspace settings (for example +358 for Finland).

All set! Now you can import hosts in bulk quickly and keep your data up to date.
