If your meeting room displays don't show bookings, or show them incorrectly, a good first step is to check the calendar connection in Systam Studio. You can check it in two places: for the whole calendar provider and for a single space.
Check a calendar provider
A calendar provider is the Microsoft 365 or Google account Systam Rooms uses to read your room calendars.
- In Studio, go to Rooms → Calendar providers.
- The Status column shows the latest status of each provider. To check a connection right from the list, click Check.
- For more details, open the provider. The Connection health section shows the status, the reason for any error, and when the status was observed or checked.
- Click Check connection to run a check right away.
Check a space
A provider can work even if a single room's calendar doesn't. In that case the problem is usually the space's calendar resource address.
- Go to Rooms → Spaces.
- The Calendar status column shows each space's calendar connection. Click Check to run a check.
- You can also open the space and click Check connection in the Connection health section.
The check is available only when the space has a calendar provider and a calendar resource address.
What the statuses mean
| Status | What it means |
|---|---|
| OK | The connection works. |
| Warning | The connection works, but something needs attention. See the reason in Connection health. |
| Error | The calendar can't be read. See the reason and fix below. |
| Not checked | The connection hasn't been checked yet. |
| No calendar resource | The space has no calendar resource. |
| Rate limited | Too many checks were run in a short time. Wait a moment and try again. |
| Unavailable | The check service didn't respond. Try again later. |
Common errors and how to fix them
| Message in Studio | What you can do |
|---|---|
| The connection has expired or was revoked. | Reconnect the provider (see below). |
| The account is missing the required calendar permissions. | Check in your Microsoft 365 or Google admin that the account has access to the room calendars. Then reconnect. |
| The room resource could not be resolved / The calendar resource was not found / is no longer available | Check the space's Calendar resource address. It must be the room's own email address, and the room must still exist in Microsoft 365 or Google. |
| The calendar provider did not respond in time / is currently unavailable / is rate limiting requests | The issue is on the calendar service's side. Check again in a little while. |
| The change subscription has expired / No change subscription is configured | Bookings reach the display with a delay of a few minutes. If this continues, contact support. |
| The provider configuration is incomplete / The connection check failed for an unknown reason | Contact support. |
Reconnect a calendar provider
- Open the provider in Rooms → Calendar providers.
- Click Reconnect.
- Sign in with the same Microsoft or Google account that was used to set up the provider.
- Finally, click Check connection to confirm it works.
Good to know
- Checking and reconnecting a provider requires organization admin rights.
- Each check sends a request to the calendar service, so there's no need to run checks repeatedly.
- If you can't get the connection working, email us at support@systam.io and tell us what the Connection health section shows.
For error messages shown on the display itself, see Troubleshooting Systam Rooms displays.
Now you know where to look when bookings don't reach the display.
