Troubleshooting Systam Rooms displays

Modified on Mon, 12 Oct at 11:04 AM

This guide covers the messages you may see on a Systam Rooms display, what they mean and how to fix them. Most fixes are done in Systam Studio at app.systam.io, some at the display itself.

Before you start

Rooms displays don't have remote management, so some fixes need someone at the display. A restart often helps: unplug the display, wait a moment and plug it back in.

If you contact support, this information helps:

  • Version number: double-tap the Systam logo at the bottom of the screen and the version shows for a moment.
  • Device ID: shown in the bottom left corner of the error screen (ID: …).
  • A photo of the screen and the name of the space.

Messages on the display

"Oh no!" with "HTTP connection error" or "Please check your internet connection and try again."

The display can't reach the Systam service. Most often the network is down, but a firewall or a wrong system clock shows the same message.

At startup, the display may show only a loading spinner for about 10 seconds before the message appears.

"Oh no!" with "Resource not found. The requested calendar resource doesn't exist."

The calendar resource linked to the display's space can't be found. The resource may have been deleted, or the space has the wrong resource address.

  • In Studio, open Rooms → Spaces and check the space's calendar resource email address.
  • Check in Microsoft 365 or Google that the resource still exists.
  • You can confirm the fix with Check connection on the space page. See Checking the calendar connection in Systam Studio.

"Error: The device cannot retrieve room reservation information"

The display isn't linked to a space in Studio, so it has no bookings to show. The second line says "Check the device settings in the management portal".

  1. In Studio, open Devices → Room displays and select the display.
  2. Under Linked space, choose the right space and click Apply.
  3. Tap Try again on the display.

Note: this message doesn't clear by itself after the fix. Tap Try again or restart the display.

"Calendar error: The device is either not paired with the calendar, or it cannot connect to it"

The display is linked to a space, but the space's calendar can't be read. The resource may be missing, permissions may be missing, or the calendar service can't be reached.

  • Run a connection check in Studio. It tells you the exact reason. See Checking the calendar connection in Systam Studio.
  • Check that the calendar provider is connected: Rooms → Calendar providers.
  • Make sure your organization's admin has approved the Systam app in Microsoft 365 or Google.
  • Check the space's resource address under Rooms → Spaces.

The display recovers by itself within about a minute once the calendar can be read again. For the full setup, see Instructions to configure Systam Rooms (O365).

"Cannot receive bookings" or "Cannot receive settings" at the bottom of the screen

The display didn't get its data on the last refresh. It refreshes about every 40 seconds, so a single message usually goes away on its own. If it keeps coming back, follow the network or calendar steps above.

"Something went wrong" when making a booking

The booking from the display didn't go through. Try again. If it keeps happening, check the calendar connection as described under "Calendar error".

The display suddenly asks for a PIN code

The display's connection to Studio has ended. This happens if the PIN code was reset or the display was deleted in Studio, if the app data was cleared, or if the display's sign-in has expired.

  1. In Studio, open Devices → Room displays and select the display.
  2. Click Reset PIN code to get a new code.
  3. Enter the code on the display. It continues with its previous settings.

A PIN code works only once. If the code isn't accepted, the display shows "Oh no!" for a moment and returns to the PIN view. Create a new code in that case. More details: How to reactivate your device.

"No bookings today"

This isn't an error. The space simply has no bookings that day. If bookings should be showing, check the space's resource address under Rooms → Spaces.

Mobile sign-in display

If the display is used for visitor mobile sign-in, one of these messages may show in place of the QR code.

MessageWhat to do
"This display is not assigned to a workspace."Link the display to the right workspace in Studio.
"This workspace does not have mobile sign-in enabled."Turn on mobile sign-in under Settings → Mobile Sign-in.
"Mobile sign-in has not been set up."Check the mobile sign-in settings under Settings → Mobile Sign-in.
"No mobile sign-in code is available yet."Wait a moment. The display updates when a code is available.
"Mobile sign-in is temporarily unavailable."The display retries on its own.
"Error: No internet connection"The connection has been down for more than 30 seconds and the QR code is hidden. Check the network. The message clears once the display gets a new code.

Connecting the display to your network

The Rooms display works with both a network cable and Wi-Fi.

Network cable (PoE): plug in an ethernet cable. The display gets power and network from the same cable.

Wi-Fi: open the Android settings by pressing the power button once, then the volume-down button once. Enter the PIN 1234. Go to Network, pick your network and enter the password. If the network isn't listed, add it manually under Add network.

The app won't start or gets stuck

If the Rooms app doesn't start or gets stuck, clearing its data often helps:

  1. Open the Android settings: power button once, then volume down once. Enter the PIN 1234.
  2. Go to Apps and select Systam Rooms.
  3. Open Storage and select Clear data and Clear cache.
  4. Restart the display.

After this, the display asks for a PIN code. Create a new one in Studio as described under "The display suddenly asks for a PIN code".

Still stuck?

Contact Systam support at support@systam.io. Include the space name, device ID, version number and a photo of the screen, and we can get to the bottom of it faster.

With these steps, most displays are back in service within a few minutes.
