You can't sign in to Systam Studio

Modified on Fri, 21 Aug at 2:18 PM

You're trying to sign in to Systam Studio at app.systam.io and it isn't letting you in. The reason is usually one of a few things, and which one depends on how your organisation signs in — so start there.

First: password or Microsoft credentials?

Some organisations sign in to Systam Studio with a Systam password. Others use Microsoft Entra SSO, where you sign in with the same Microsoft credentials you use for everything else and there's no separate Systam password at all.

This matters, because if your organisation uses SSO, resetting a password won't help — there's no password to reset. If you're not sure which one applies to you, your admin knows.

Signing in for the first time?

If your account was just created, there's a step that's easy to miss: a new user sets their own password before the first sign-in. No password is sent to you.

  1. Go to app.systam.io.
  2. Click Forgot password?
  3. Enter your work email address and click Send reset instructions.
  4. Open the email from Systam and set your password.

So the "forgot password" link is the right path even when you've never had a password. Nothing is wrong.

The reset email never arrived

  • Check the address you entered. It has to be the address your account was created with. If you have several addresses or an alias, the reset only works with the one in the system — your admin can tell you which one that is.
  • Check your spam folder and search your whole mailbox, not just the inbox.
  • Consider that the account may not exist yet. If nothing arrives with the right address, it's worth asking your admin to check that you've been added.

The full steps are in Reset your Systam Studio password.

"My account isn't there"

There are two separate things in Studio that are easy to mix up, and being one doesn't automatically make you the other:

  • Being a host — you can be named as the person receiving visitors.
  • Being a user who signs in — this is managed separately in Studio.

So if someone told you they'd "added you to the system", it's worth asking which of the two they did. Your admin can check both and add what's missing — see Create a new admin to Systam Studio.

You get in, but not everything is there

If you can sign in but a view or a setting you were expecting is missing, that's about your role rather than your account. Studio has several roles and each one sees a different amount: organization owner, workspace admin, front desk, and host.

Your admin can change roles — with one exception worth knowing: the front desk role is assigned by our support team, so if that's the one you need, ask your admin to request it from us. The roles are described in User roles and permission in Systam Studio.

Getting in touch

Your own admin can solve most of these faster than we can, since they can see the users and roles directly. If you've been through the above and you're still stuck, write to us at support@systam.io and tell us:

  • the email address you're trying to sign in with
  • whether you sign in with a Systam password or Microsoft credentials
  • what happens on screen — an error message, or nothing at all
  • whether this is your first sign-in or it worked before

If there's an error message, the exact wording helps. A screenshot is even better.
