Plan visits in advance in Systam Studio to create a smooth and welcoming arrival experience for your visitors.
How to plan a visit
- Sign in to Systam Studio at app.systam.io.
- Select + Add visit at the top of the page.
- Select Plan a visit from the side drawer.
- Fill in the visit details:
- Workspace – the workspace the visit belongs to
- Visit type – if the workspace has multiple visit types, select the correct one. If only one exists, it is selected automatically.
- Start date & time – select the visit start date and time
- Estimated duration – quick-select options such as 1h, 2h, or 1d that automatically calculate the end time
- End date & time – optional end time field with validation and clear option
- Visitor search – search for existing visitors with typeahead search. Selecting a visitor auto-fills their information.
- New visitor – if the visitor is not found, create a new visitor directly from the form.
- Import visitors – upload an .xlsx file to add multiple visitors at once.
- Host – search and select a host. The logged-in user is selected automatically unless the user has a Front Desk role.
- Visit title and details – optional info.
- Custom fields – visitor-specific fields displayed dynamically based on the selected visit type
- Select Save visit when everything is ready.
Multi-day visits
If the visit end date is on a different day than the start date, the visit is handled as one continuous visit. The visitor PIN code works on every day of the visit.
All set! Your visit is now planned and your visitors will receive clear arrival instructions in advance.
