Inviting guests using the Invites by Systam Outlook add-in

The Invites by Systam add-in lets you add visitor details directly from an Outlook calendar invite. When you send a meeting invitation as usual, the visit details are transferred automatically to Systam Visit, and invited visitors receive a pre-arrival message before their visit.

How to use the Invites by Systam add-in

  1. Create a new event in your Outlook calendar as usual.
  2. Click the Invites by Systam button in the top toolbar.
  3. Select the workspace where you want to invite the visitors.
  4. Select the correct visit type.
  5. After you make the selection, the invite address is added automatically to the meeting as one recipient.
  6. Complete the rest of the meeting details as usual, such as participants, time, location, and subject.
  7. Send the meeting invitation.

What happens after you send the invitation

When you send the meeting invitation, the visit details are added automatically to Systam Visit. All invited visitors receive a pre-arrival message before their visit.

Things to note

  • Visible workspaces – The add-in only shows the workspaces you have access to.
  • Visible visit types – The add-in only shows the visit types that have a dedicated invite address configured for calendar invitations.

How to save a default selection

You can save your selection as a default to make future invitations faster.

  1. Select the workspace and visit type you want to use.
  2. Click Remember selection.
  3. Click Confirm.

The next time you create a new event, you only need to click Invites by Systam. The default invite address is added to the meeting automatically.

All set! Now you can add visits to meeting invites in just a few clicks.
