Add a visit type

Visit types let you manage different kinds of visitors — guests, contractors, couriers, and others — with separate settings. Each type can have its own pre-arrival messages, terms of visit, printed badge, and sign-in fields.

Adding a visit type

  1. Log in to Systam Studio at app.systam.io
  2. Go to Settings.
  3. In the Visit types section, click +.
  4. Choose a preset from the Preset dropdown. There are 19 ready-made presets to start from: Demo, Driver, Courier, Student, Internal staff, External staff, Office visitor, Production visitor, Customer, Appointment customer, Maintenance staff, Employee, Subcontractor, Pensioner, Job applicant, Media representative, Cleaner, Service provider and Audit official. Each comes with a name and description you can edit afterwards.
  5. Optionally, check Set as the default Visit Type — this type is then set automatically when a visit is created from a calendar invitation. Only one type can be the default at a time.
  6. Click Save.

The visit type is now active and ready to configure. The counter next to Visit types shows how many you're using out of your workspace's limit — if you need more, contact support@systam.fi.

What can differ between visit types

Click a visit type's name in the list to open its settings. Everything below is set per type, so a factory contractor and an office guest can go through completely different flows in the same workspace.

GeneralDefault language for visitor messages, whether the mobile visitor badge is sent by email and/or SMS, and whether several visitors can sign in together on the self-service kiosk.
Printed visitor badgeWhether the badge shows the host's name and a QR code.
Pre-arrival messagesWhether a message goes out when the visit is created and/or as a reminder before it, how many days before the reminder is sent, a custom email subject and header image, custom arrival content, and which details appear: QR code, PIN code, host's email and phone, visit date and time, meeting location.
Visitor informationWhether email address, phone number and company name are optional, hidden or mandatory during sign-in, and whether the flow collects a license plate or a photo.
Custom fieldsWhether the visit type uses the custom fields defined in your Custom field settings, for extra information you want per visit or visitor.
InductionWhether visitors must complete a Systam Pass induction, in their pre-arrival message or at the kiosk, before they can sign in. This needs Systam Pass — contact Systam to unlock it.
Terms of visitIts own terms of visit text, with a separate version for each language your workspace supports.

A practical example from a factory site: contractors get an induction link in their pre-arrival message and can't sign in until it's done, and their badge shows the area they're working in. Office guests sign in with just a PIN code, skip the induction, and get a standard badge. Same workspace, two visit types, no compromise for either one.
