Customize the visitor pre-arrival message content

Want to give your visitors a great first impression before they even arrive? You can customize the pre-arrival message to make sure visitors receive all the information they need ahead of their visit.

Add your company branding, arrival instructions, and important visit details to help visitors feel prepared and welcomed before they step through the door.

Customize the pre-arrival content

  1. Log in to Systam Studio at app.systam.io
  2. Open Settings.
  3. Navigate to Visit types on the left side menu.
  4. Select the visit type where you want to customize the content.
  5. Navigate to Customize the pre-arrival content.
  6. Enter the email subject in Add a subject for pre-arrival email.
    • You can use dynamic fields such as {WorkspaceName} and {VisitStartDate}, which are automatically replaced with visit-specific information.
  7. Add an image in Header image to include your organization's branding in the message. Thie image will be displayed at the top of the pre-arrival email, in the header section. 
  8. Select which visitor details should be shown in the pre-arrival email and Systam Mobile app.
  9. Add additional arrival information in Custom content, if needed.
  10. Save your changes.

Available visitor information

  • Show QR code – Includes the QR code in the email and Systam Mobile app.
  • Show PIN code – Includes the PIN code in the email and Systam Mobile app.
  • Show host email – Includes the host’s email address in the message.
  • Show host phone – Includes the host’s phone number in the message.
  • Show visit date and time – Includes the visit date and time in the email.
  • Show meeting location – Includes the organization's address in the email.

Add custom arrival instructions

Use custom content to provide helpful information such as parking instructions, entrance details, building access information, or identification requirements.

Select Edit custom content to open the editor. Enter your instructions, format the content as needed, and select Save to publish the changes.

All set! Your visitors will receive clear instructions and enjoy a smoother arrival experience.
