Setting data retention periods

Modified on Fri, 9 Oct at 12:41 PM

A data retention rule makes sure personal data isn't kept longer than needed. When the set number of days has passed since a person's latest completion, Systam Pass deletes the person and all their data automatically.

  1. Open System settings in the left sidebar.
  2. Under Add, give the rule a Rule description, for example "Automatic deletion of user data".
  3. Set the Data retention period for inactive users in days.
  4. Under Action after retention period has expired, choose Delete user and all related data.
  5. Click Save.

The rule appears under Active rules and starts working right away. You can remove it with the Delete button on its row.

Good to know

  • Deletion is permanent. Deleted people and their completions can't be restored.
  • The rule doesn't apply to administrator users.

Your retention rule is in place.
